Iron Crown Notary ("we," "us" or "our") is a brand of The Iron Crown Collective, LLC. We operate www.ironcrownnotary.com. This Privacy Policy explains how we collect, use and protect your information when you visit our website and request our services.

2. Information We Collect

When you contact us by text, phone or email or ask for service we may collect:

Your name
Your phone number
Your email address
The service you are requesting, such as estate document execution, a correctional facility notarization, legal administrative support, government contracting or HR and HRIS operations
Your message or service details

The text button on our site opens the messaging app on your phone. We receive your phone number and message the way any text message arrives.

When you schedule through Calendly, Calendly collects the details you enter and shares them with us. We also use Google Analytics to measure general website traffic and how visitors use the site. Google states that Google Analytics does not log or store IP addresses and mainly uses first-party cookies to report on visitor interactions (Google: safeguarding your data). We do not send your name or contact details to Google Analytics.

3. How We Use Your Information

We use the information you provide to:

Respond to your service request
Schedule your appointment
Provide you with service details and pricing
Communicate updates or changes regarding your appointment
Maintain business records for compliance and service delivery

We do not use your information for marketing purposes without your consent. We do not sell or rent your personal information. We share it only when the law requires or with the providers needed to run our website and your appointment, such as Calendly and Google Analytics.

4. Calendly Integration

We use Calendly for appointment scheduling. When you schedule through Calendly, Calendly’s privacy notice applies. Please review Calendly’s privacy notice for details on how they handle your information.

5. Cookies and Third-Party Services

Our pages load fonts from Google Fonts and our scheduling tools from Calendly, so your browser connects to those providers when those parts of a page load. 6. Notary Records Retention

When you request notarization we keep a notary record of the transaction. Under Texas Government Code Section 406.014 that record includes:

The date of the instrument and the date of the notarization
The signer’s name and mailing address
The method used to verify identification
Witness information when a witness is involved
The grantee’s name and mailing address and land conveyance details when they apply
A brief description of the instrument

A notary must retain these records until the 10th anniversary of the date of notarization (subsection (g)). Under 1 Texas Administrative Code Section 87.50 we do not record identification numbers in the record book. We store records securely. Texas law governs who may obtain copies of notary records.

7. Data Security

We take reasonable measures to protect your personal information from unauthorized access, alteration or destruction. Only authorized Iron Crown Notary personnel access your information. Iron Crown Notary maintains Cyber Liability insurance for data breaches and unauthorized access.

8. Your Rights

Notary records maintained under Texas law cannot be deleted during the retention period but may be amended or corrected on request.

9. Third-Party Links

Our website may link to third-party websites such as Calendly, Google and payment providers. We are not responsible for the privacy practices of those sites. Please review their privacy policies before you share your information.

10. Changes to This Policy
