Terms & Conditions

1. Service Scope

Iron Crown Notary is a mobile notary and document-support service operated by The Iron Crown Collective, LLC, under the direction of Shelley Hunt, Founder & Principal. Services include estate plan signings, apostille facilitation, correctional facility notarizations, and attorney-directed administrative document support across the Dallas–Fort Worth area. Iron Crown Notary does not provide legal advice. Information regarding professional credentials and background screening are available upon request.

2. Fees & Pricing

Texas law caps the fee for most notarial acts at $10 per act (Texas Government Code Section 406.024). This includes acknowledgments, oaths, and single-signature certificates. All quotes are provided verbally and confirmed in writing via invoice prior to service. Payment is due at time of booking.

Travel and administrative services are not regulated by the statutory notarial fee schedule and are quoted separately:

• Primary service area ($50 travel fee): Farmers Branch, Carrollton, Addison, Coppell, Las Colinas, Grapevine, Southlake, and The Colony
• Extended service area ($75 travel fee): All other areas within Dallas–Fort Worth
• Apostille facilitation: Coordination services quoted individually based on document type and urgency
• Correctional facility coordination: Facility access fees and coordination charges quoted per appointment

Travel and administrative fees are non-refundable once confirmed. Completion of a notarization or facilitation service does not guarantee acceptance of a document by any receiving party (courts, financial institutions, government agencies, or foreign authorities).

3. Payment Terms

Payment must be received at time of booking to secure your appointment. We accept cash, check, card, and digital payment. An invoice will be provided for record-keeping. All fees are non-refundable once the appointment is confirmed.

4. Cancellation & Rescheduling

Appointments cancelled within 24 hours of the scheduled time are subject to the full service fee. One reschedule is permitted at no additional charge, provided 24 hours' notice is given. After the first reschedule, no further rescheduling is allowed and all fees are non-refundable.

5. Signer Requirements

All signers must appear in person at the time of notarization. Per Texas Government Code Section 406.0091 (effective September 1, 2025), remote notarization without personal appearance is a criminal offense and Iron Crown Notary does not offer this service.

Signers must provide valid photo identification. Per Texas Administrative Code Title 1, Section 87.60, Iron Crown Notary does not record identification numbers on notarial records.

Signers confirm they understand (1) the purpose and effect of the notarization, (2) that notarization does not constitute legal advice, and (3) that receiving parties (banks, courts, agencies) determine their own acceptance criteria for notarized documents.

6. Document Requirements

Clients are responsible for providing complete, legible documents at the time of appointment. Iron Crown Notary does not edit, alter, or complete incomplete documents. Iron Crown Notary does not provide legal advice regarding document sufficiency or acceptance.

Notarization does not guarantee that a document will be accepted by its receiving party. If a receiving party rejects a notarized document, all fees are non-refundable.

7. Geographic Service Area

Iron Crown Notary serves the following primary service area at the $50 travel rate: Farmers Branch, Carrollton, Addison, Coppell, Las Colinas, Grapevine, Southlake, and The Colony. Extended service area locations (beyond these eight cities) are available at the $75 travel rate. Quotes for locations outside the Dallas–Fort Worth metroplex are provided upon request.

8. Record Retention & Compliance

Iron Crown Notary maintains notarial records in accordance with Texas Government Code Section 406.014(g), which requires retention of notary records for a minimum of 10 years (effective September 1, 2025). All records are kept confidential and secure.

Iron Crown Notary operates under the authority of the State of Texas, Secretary of State, and complies with all applicable notary laws and regulations.

9. Insurance & Bond

Iron Crown Notary maintains a $10,000 statutory notary bond, $200,000 Errors & Omissions insurance, $1,000,000/$2,000,000 General Liability coverage, and Cyber Liability insurance. These protections cover professional negligence and operational risks within the scope of notarial services.

10. Limitation of Liability

Iron Crown Notary's liability is limited to the amount of fees paid for the specific service in question. Iron Crown Notary is not responsible for the consequences of document rejection by third parties, loss of business, or indirect damages arising from the use or non-use of notarial services.

11. Disclaimer of Legal Advice

Iron Crown Notary does not provide legal advice. A notarization certifies only that the signer appeared in person, provided valid identification, and signed the document of their own volition. Notarization does not certify the legality, validity, or accuracy of the document's content. For legal questions, consult a licensed Texas attorney.

12. Governing Law

These Terms & Conditions are governed by the laws of the State of Texas, and any disputes shall be resolved in the state or federal courts of Dallas County, Texas.

13. Entire Agreement

These Terms & Conditions constitute the entire agreement between you and Iron Crown Notary regarding the services described herein. Any prior agreements, understandings, or representations are superseded by this document.

14. Changes to Terms

Iron Crown Notary reserves the right to modify these Terms & Conditions at any time. Changes will be effective upon posting to this page, with notice provided to existing clients when material changes occur.
